How to Buy Microsoft 365 for Small Business

This guide walks you through the complete process: assessing your team's needs, choosing a plan, purchasing, and getting your team set up. No jargon, no sales pressure — just a clear path from decision to delivered license.


Step 1: Assess Your Team's Actual Needs

Before looking at plans, answer five questions about your team honestly:

  1. How many people need access? Every license = 1 user. You don't need a license for people who only read documents someone else creates.
  1. Which apps does your team use daily? Word/Excel/PowerPoint on a desktop? Or primarily email and web tools? The answer determines whether you need Basic or Standard.
  1. Do you need desktop apps? If your team creates Word documents, Excel spreadsheets, or PowerPoint presentations on their own computers, you need Standard or Premium — not Basic.
  1. Do you have security concerns? If you handle sensitive customer data, legal documents, or financial records, Premium's Defender and Intune are worth the upgrade.
  1. What's your monthly budget per user? Divide your total IT budget by the number of users. Find the plan that fits comfortably.

Step 2: Choose the Right Plan

If you answered mostly "email, web, and basic tools" → Business Basic (฿580/user/month)

Your team works from a browser. They check email, join video calls, and use shared documents. They don't need Word or Excel installed on their computers. Business Basic gives them Teams, Outlook on the web, and 1 TB of storage — everything they need at the lowest price.

If you answered mostly "full desktop Office daily" → Business Standard (฿1,200/user/month)

Your team creates documents daily on their own laptops or desktops. Word, Excel, and PowerPoint are part of the daily workflow. Business Standard is the most popular plan for a reason — it covers the full desktop Office suite for teams that actually use it.

If you answered mostly "security and sensitive data" → Business Premium (฿1,600/user/month)

Your team handles data that needs protection beyond standard antivirus. You need to manage mobile devices that access company data. You want the ability to remotely wipe a lost laptop. Business Premium gives you all of Standard plus Defender for Business and Intune.

Step 3: Calculate How Many Seats You Need

A seat is one user. One license = one person.

You only need a license for people who will actively use Microsoft 365. You do NOT need a license for:

  • People who only view documents
  • External guests who collaborate occasionally (guest access is free)
  • Clients who receive read-only shared files

Tip: If you have a 15-person team but only 12 actively create documents and use email, buy 12 licenses. You can always add more seats later.


Step 4: Choose Your Payment Method

For Thailand visitors:

  • Bank transfer (Kasikorn, SCB, Krungsri, BBL)
  • PromptPay QR code

For Singapore visitors:

  • PayNow
  • Bank transfer (DBS)

For all other visitors:

  • International bank transfer
  • PromptPay QR (if you can use a Thai bank app)

  4. Make payment using your preferred method
  5. Send proof of payment (screenshot or PDF) so we can match it to your order quickly

Step 6: Purchase Success & Order Received

Once payment is confirmed:

  • Your purchase is marked successful
  • You receive an order confirmation email from us

Step 7: Receive Your Microsoft License Email

Within 1–24 hours (typically under 2 hours during business hours):

  • Microsoft sends your official license email and keys directly to your email
  • The email comes from [email protected] — check your spam folder if it doesn't arrive within a few hours

Activating your license:

  1. Go to portal.office.com
  2. Sign in with the work account you want to associate with the license (create one if you don't have it)
  3. Click "Install Office" and follow the on-screen instructions
  4. Enter your product key when prompted (included in the Microsoft email)
  5. Office apps are ready to use
